Why do I receive academic accommodation (AA) letters from SSD in the middle of the
semester?
Students may register with SSD at any time throughout the semester and therefore may be authorized for accommodations throughout the semester. Contact our office if you have any questions regarding accommodation letters. -
I have received an AA letter and I feel that an accommodation is not appropriate for
my course — what should I do?
SSD is available to consult with instructors when questions arise regarding the appropriateness of an accommodation for a course. SSD will work with the instructors to discuss the essential elements of the course and determine whether the accommodation is reasonable. -
I’ve received an AA letter for a student but they never talked to me about their accommodations.
What should I do?
As stated in each AA letter, students have a responsibility to contact instructors to discuss the implementation of their accommodations. If students do not meet with their instructor or discuss the implementation of the accommodations, it can be assumed that they have chosen not to use any accommodations at this time.
In the event that a student does not contact you to discuss the implementation of their accommodations, do not hesitate to contact SSD.

A student told me they don’t want to use their accommodations for an exam. Is this
okay?
Yes. Students have the right to not use their accommodations if they wish. They should clearly communicate with you if they are choosing not to use their accommodations. You may want to document this via email with the student.

What do I do if a student discloses they have a disability but I have not received
an accommodation letter from SSD?
Refer the student to our office. SSD is the appropriate entity on campus for determining and authorizing reasonable accommodations.

I don’t have a TA to help with proctoring exams. Is there a department on campus that
can help with this?
YES! instructors are encouraged to contact the University Testing Center if they need assistance.

I do not allow computers or tablets in class, do I have to accommodate?
If a laptop is an approved accommodation, a policy modification for the student with a disability is required and reasonable. In order not to publicly identify the student with a disability the instructor is encouraged to state on the syllabus something like the following: "Exceptions for the use of a laptop may be granted for compelling reasons at the discretion of the instructor."
Instructors with a course-specific concern about the accommodation should contact SSD for guidance.

I have a student with an attendance accommodation, what should I do?
The student’s AA letter outlines how instructors can meet this accommodation. If there are course-specific concerns about the accommodation, instructors should contact SSD for guidance.

Do I have to alter my attendance policy?
NO. You are not required to alter your attendance policy, if the additional absences requested by a student's AA letter would fundamentally alter your course. This is especially true when attendance is considered an essential part of your course. Instructors should reach out to SSD immediately when receiving the AA letter and discuss the appropriateness of the accommodation. We also encourage instructors to clearly state on your course syllabus the attendance requirements and explain the importance and unique nature of attendance.

I just received an AA letter from a student and the exam is tomorrow, do I have to
provide the accommodations?
SSD requires all students to speak with their instructors regarding the implementation of accommodations, so if the student has not contacted you, you do not need to provide the accommodation. If the student has contacted you, a good faith effort should be made to meet the accommodations, which can include reviewing University resources available to you, including the University Testing Center, course TAs, any departmental resources, etc. Instructors are also encouraged to contact SSD for guidance.

How can I determine if the dog in my classroom is a service dog?
A student may have the service dog indicated in their AA letter, in which case you should not discuss the presence of the service dog with the student.
If the service dog is NOT mentioned in an AA letter, you may ONLY ask two questions:
- Is the dog a service dog required because of a disability?

- If no, ask the student to remove the dog.
- If yes, ask the following question:

- What work or task has the dog been trained to perform?

- Instructors are encouraged to make note of the student's response to this question and discuss the information with SSD.
